How to Use Excel Spreadsheet to Create A-1/A-6 File
An Excel Spreadsheet has been created that has the required fields for the A-1/A-6 Bulk File that is already in the correct File Layout needed to upload the file. Instructions are listed below to show you how to upload this file. A Demo is also available on the Main Menu page. Click the Demo button next to the Third Party Bulk File for Client(s) selection to Demo your file.
- Download the A-1/A-6 Bulk Filing Spreadsheet (Updated: 07/29/2010) and save it to your hard drive on your computer. For Internet Explorer users, right-click on the link above and select “Save Target As” to save the file to your computer.
- Enter your A-1/A-6 information into the spreadsheet. More information about the various fields on the spreadsheet is available on the A-1/A-6 File Layout Description page. After you finish entering all your information, save your .xls file. NOTE: Please make sure that you have entered information in all the fields that are required. The Required fields are noted in the column headings.
- Click the red button “Click Here To Export To Text File” to create your A1/A6 file. A menu box will appear. Select a location where you want to save your file.
- Please make a note of the name and location of your A1/A6 file.
- To upload your file, logon to the Alabama Department of Revenue's Paperless Filing and Payment System.
- Select Third Party Bulk File for Client(s).
- Select State Withholdings Tax (A-1, A-6) then click the Upload button.
- On the File Type screen, the file type is a Delimited File with comma (,) as the Field delimiter and double quotation marks (") as the String qualifier. Press the Continue button.
- No changes need to be made on the File Layout screen unless you have previously changed the file layout. Press the Continue button.
- On the Upload File screen, use the Browse button to search for the A1/A6EXPORT.txt file on your computer that you wish to upload for processing and click the Upload button. Note: Please make sure that you are uploading the .txt file instead of your saved Excel Spreadsheet (.xls) The system cannot process the file if it is saved as an Excel ( .xls) worksheet.
- The Results Screen will appear and any errors will be shown in the results column. You can review the error codes shown on the screen or click the link for More Error Codes to obtain an explanation of the Error Code. If no errors are shown, the results column will show "Valid".
- If you have any errors, open your original Excel (.xls) version of your spreadsheet and make the required changes. Then repeat steps 3 and 4 to save your file as a .txt file before you try to upload again.
